Terms & Conditions

These Terms govern your use of The Kindroot Space platform and services. By booking a session, subscribing to a membership, or attending a community event, you confirm you have read, understood and agree to these Terms.

1. Who We Are

We connect clients with independent wellness practitioners (coaching, yoga, breathwork, therapeutic conversations, meditation, sound healing, reiki, community events). We facilitate bookings, payments and admin but do not directly provide the services.

2. What You Receive

Human-led individual matching (no algorithm); aligned Practitioners; reasonable review of Practitioner training/qualifications; clear booking/confirmation/reminder emails and session links or in-person details (bookings via Cal.com); secure payments and refunds via Stripe; neutral mediation if issues arise (§12).

3. Your Responsibilities

Accurate info and health disclosures; use the platform for all bookings with Practitioners introduced by us for 6 months from your first introduction (§6.4); respect Practitioners and participants and follow community standards (§11); verify suitability and seek medical advice where relevant (§13).

4. Matching (Human-Led)

We read your intake and suggest suitable Practitioners; you may request a different one subject to availability; the choice to proceed is yours.

5. Bookings

5.1 All bookings via the platform; confirmations/reminders by email; payments via Stripe; bookings via Cal.com.

5.2 1:1: date/time plus online video link or in-person venue/access notes.

5.3 Group & Private Group: Private Group = a Lead Client booking for multiple participants who ensures they know these Terms, confirms numbers by deadline, shares access details without over-forwarding; Practitioners may cap numbers and refuse over-capacity without refund.

5.4 Memberships: billed monthly via Stripe Subscriptions, auto-renew until cancelled (§7.5); member-only access must not be shared.

6. Payments, Pricing & Off-Platform

6.1 Pay all fees at booking/subscription; receipts via Stripe; bookings via Cal.com.

All payments are handled through The Kindroot Space. Practitioners receive their session fee after standard platform and Stripe processing fees are deducted. This keeps your payment secure, protected by our cancellation and refund policy, and never taken directly by a Practitioner.

6.2 Price at checkout is what you pay that cycle.

6.3 Chargeback without contacting us first may lead to suspension while we investigate.

6.4 Non-Circumvention: don't arrange/pay for Services outside the platform with any Practitioner introduced through us for 6 months from the first introduction; breach may lead to suspension and denial of future Services.

7. Statutory Cancellation Rights, Cancellations & Refunds

7.1 14-Day Statutory Right and its limits: because you book online you may have a legal right under the Consumer Contracts Regulations to cancel within 14 days, but this does NOT apply to services booked for a specific date/period (scheduled 1:1s, classes, workshops, events) which are exempt as date-specific leisure services; where you ask us to begin within the 14 days, your right ends once fully performed and you may owe a proportionate amount for any part delivered; the terms below also apply.

7.2 Standard Policy: 48+ hours before = full refund; 24–48 hours = 50%; under 24 hours/no-show = none; refunds via Stripe to original method.

7.3 Rescheduling: same windows; inside 24 hours may be a late cancellation.

7.4 Practitioner cancels: full refund or free rebooking.

7.5 Group/Private Group/Memberships: open Group tickets generally non-refundable unless we/the Practitioner cancel; Private Group follows 48h/24h; memberships cancellable before next billing date, no partial refunds, access ends at period end or on failed payment.

7.6 Practitioners may be more generous; this doesn't amend the policy; nothing affects your non-excludable statutory rights.

8. Access, Links & No-Sharing

Access details provided after booking must be kept private; don't share links/materials outside your booking/membership; abuse may mean removal without refund.

9. Website Assistant (“A Kind Ear”)

An AI-powered tool, not a person, and not a substitute for professional medical, psychological or crisis support; no diagnosis, therapy or emergency assistance.

If you are in crisis or need urgent help

Please contact your GP, call 999, or call the Samaritans free on 116 123 (24/7). Do not rely on the assistant in an emergency.

10. Confidentiality & Data Protection

Practitioners keep sessions confidential except where disclosure is required by law (safeguarding, risk of harm); we process personal data only for matching, booking, payments and essential communications; see our Privacy Policy; you consent to essential operational emails and can opt in/out of marketing; providers include Stripe and Cal.com.

11. Behaviour, Community Spaces & Standards

Zero tolerance for abusive, discriminatory or unsafe behaviour; Practitioners may end a session early; Lead Clients responsible for participant conduct; in community spaces (group chats, forums, community circles) don't post unlawful, harmful, harassing or abusive content; we may moderate, remove content or suspend access to keep spaces safe and will act on reports; breaches may mean removal without refund.

12. Mediation & Disputes

We may act as neutral mediator, consider both sides, apply these Terms (including §7), and arrange eligible refunds via Stripe; our determination after mediation is final; Cal.com records may be used.

13. Health, Suitability & Disclaimers

Services support wellbeing and growth; not a substitute for medical/psychological/psychiatric care; you assess suitability and disclose relevant health info; in crisis contact emergency services or a licensed professional immediately; for movement/breathwork consult your clinician about contraindications.

14. Minors & Safeguarding

Adults 18+ unless expressly stated; where available to minors, parental/guardian consent and safeguarding measures are required; we may suspend access pending review if concerns arise.

15. Recordings, Materials & IP

No recording without explicit written consent from all parties; materials for personal use only and remain the creator's IP; don't copy, share or resell.

16. Liability

Practitioners are independent and carry their own responsibility and insurance; to the fullest extent permitted by law we're not liable for session outcomes or indirect/incidental damages; total liability shall not exceed the amount paid for the specific Service; nothing limits liability that cannot be excluded by law.

17. Suspension & Termination

We may suspend/terminate for breach, unsafe behaviour or circumvention; you may stop anytime; outstanding obligations remain.

18. Changes

We may update periodically; latest version always on our website; material changes communicated by email or site notice.

19. Governing Law

Laws of England & Wales; courts of England & Wales have exclusive jurisdiction.
