Practitioner Terms & Conditions

These Terms & Conditions (“Agreement”) set out the rights and responsibilities of practitioners who join The Kindroot Space (“we”, “our”, “us”) to offer sessions to clients. By submitting your practitioner onboarding form and ticking the consent box, you confirm your acceptance of these Terms.

1. Who We Are

The Kindroot Space is a platform connecting individuals and communities with independent wellness practitioners (“you”, “your”). We provide visibility, marketing, client connections, booking tools, and payment processing. We do not employ practitioners or deliver sessions ourselves.

2. What You Receive

A professional profile on our website; visibility and marketing through our channels (website, social media, newsletters, features); client introductions; booking system support (automated confirmations, reminders, and where applicable online links for virtual sessions); payment handling via Stripe Connect for secure, reliable payouts; administrative support for cancellations and refunds in line with your stated policy; community connection (co-creation circles, collaborations, workshops); professional credibility as part of a vetted, values-led platform.

3. Your Responsibilities

  • Professional standards: provide services safely, ethically, and in line with your training.
  • Qualifications: hold and maintain the relevant certifications/training.
  • Insurance: maintain professional liability/indemnity insurance appropriate to your services.
  • Legal compliance: follow all applicable laws including safeguarding, health & safety, and data protection.
  • Kindroot values: act with kindness, inclusivity, and integrity.
  • Independent status: you are not an employee, worker, or agent of The Kindroot Space; you remain self-employed and responsible for your own business and taxes.

4. Payment & Fees

All client bookings and payments are processed securely via Stripe Connect. The Kindroot Space retains a 15% platform commission on each completed booking to cover marketing, administration, and platform costs. The remaining balance (minus Stripe fees) is paid directly to you via your Stripe Express account. You set your own session prices (within the ranges indicated in your onboarding form). You are responsible for declaring and paying your own taxes.

5. Bookings

All client bookings must be arranged and confirmed through The Kindroot Space so sessions are tracked, protected by our cancellation/refund policy, and paid securely via Stripe Connect. Where you use our scheduling provider (Cal.com), clients book through your assigned calendar. If you use your own scheduling link, you must provide it to us for coordination; clients may only receive your link via The Kindroot Space, and you must always CC or forward all booking confirmations to bookings@thekindrootspace.com so we can track sessions and process payments through Stripe Connect. After each session, clients may be sent a short feedback form by The Kindroot Space. You agree not to solicit, accept, or process bookings with any client introduced via The Kindroot Space outside the platform, or without payment via Stripe Connect, for 6 months after the client's first session.

6. Cancellations & Refunds

Clients may cancel up to 48 hours before start for a full refund; 24–48 hours before = 50% refund; under 24 hours or no-show = non-refundable. Refunds are processed securely through Stripe and facilitated by The Kindroot Space. Practitioners may, at their discretion, offer more flexible solutions (rescheduling or a full refund) in the spirit of fairness and kindness. Clients cancel through the booking system, which processes refunds automatically. Practitioners who need to cancel must notify The Kindroot Space immediately so we can support rescheduling or a full refund. All practitioners agree to follow this minimum standard cancellation policy for bookings made via The Kindroot Space.

7. Confidentiality & Data Protection

Handle all client information with strict confidentiality; comply with UK GDPR and other applicable data protection laws. We may share client contact details with you only to deliver sessions. By joining, you consent to us securely storing and processing your data for platform operations.

8. Safeguarding & Duty of Care

If a client discloses information raising safeguarding concerns, follow legal and professional guidelines. The Kindroot Space should be informed if a safeguarding issue arises in connection with a platform booking.

9. Mediation & Disputes

If a client raises an issue about a platform booking, we may act as a neutral mediator; our role is to facilitate communication, not to be legally responsible for session outcomes. For refund requests or complaints we review the circumstances with both parties, apply the standard cancellation/refund policy, and process any refund via Stripe Connect. For complaints involving serious misconduct, safeguarding, or safety, we may suspend or remove your profile immediately while we review. Unresolved disputes between you and a client remain your responsibility as an independent practitioner.

10. Communications

You agree we may send essential service emails (bookings, payments, cancellations, platform policies). Optional community/marketing emails are opt-in/out anytime. We will not share your email with third parties for marketing.

11. Liability

You are fully responsible for your services, including client safety, wellbeing, and outcomes. The Kindroot Space is a connection platform only and does not supervise or guarantee your services. You agree to indemnify The Kindroot Space against any claims, costs, or damages arising from your services.

12. Ending the Agreement

Either party may terminate with 30 days' written notice. We may suspend or remove your profile immediately if you breach these terms, provide unsafe services, or act in a way that damages client trust or the community.

13. Changes to These Terms

We may update these Terms; you will be notified of significant changes; continued use indicates acceptance.

14. Governing Law

Governed by the laws of England & Wales; exclusive jurisdiction of the courts of England & Wales.
