Terms & Conditions

These Terms & Conditions (“Terms”) govern your use of The Kind Root Space platform and services. By booking a session, subscribing to a membership, or attending a community event, you confirm that you have read, understood, and agree to these Terms.
1. Who We Are

The Kind Root Space (“we”, “us”, “our”) is a platform connecting clients with independent wellness practitioners.

Services may include coaching, yoga, breathwork, therapeutic conversations, meditation, sound healing, reiki, and community events.
-
We facilitate bookings, payments, and administration, but we do not directly provide the wellness services listed.
2. What You Receive
-
When you use our platform you can expect that we will:

Match you individually (human-led) based on your needs and preferences (no algorithm-based matching).

Present aligned Practitioners who are kind, intentional, and aligned with our values.

Reasonably review Practitioner training/qualifications or current supervised training appropriate to the Services they offer.
-
Provide clear booking, confirmation, and reminder emails, and (where applicable) session links or in-person details. Bookings may be managed via third-party scheduling providers (e.g., Acuity Scheduling).

Facilitate secure payments and refunds via Stripe.
-
Offer neutral mediation if issues arise (see §11).
3. Your Responsibilities

By booking, you agree to:

Provide accurate information and relevant health disclosures to help us match you appropriately.

Use the platform for all bookings with Practitioners introduced by us for 12 months from your first introduction (§6.4).

Treat Practitioners and other participants with respect; follow session guidelines and community standards (§10).
-
Verify that any practice is suitable for you and seek medical advice where relevant (§12).
4. How Matching Works (Human-Led)

Matching is personal and values-based. We read your intake and suggest one or more Practitioners who seem suitable.

You may request a different Practitioner if you don’t feel the fit is right; this is subject to availability.

The choice to proceed is always yours.
5. Bookings (1:1, Group/Private Group, Memberships)

5.1 General
-
All bookings must be made through our platform. You will receive confirmation and reminders by email.

Payments are processed securely through Stripe. Bookings may be managed via Acuity Scheduling, which integrates with our payment systems.

5.2 Individual (1:1) Sessions
-
Confirmation includes the agreed date/time and:
-
Online: a unique video link (e.g., Zoom/Meet).
-
In-person: the venue address and any access notes.
-
5.3 Group & Private Group Bookings
-
A Group is open to multiple clients; a Private Group is when a “Lead Client” books a Practitioner for multiple participants (e.g., workplace or friends).
-
The Lead Client is responsible for:
-
Ensuring all participants are aware of these Terms and session guidelines.
-
Confirming final attendee numbers by the deadline set in the listing or confirmation.
-
Sharing access details (link/location) with participants and ensuring links aren’t forwarded beyond the group.
-
Practitioners may set maximum participant numbers; exceeding capacity without agreement may result in refusal without refund.

5.4 Memberships / Recurring Communities

Memberships are billed monthly via Stripe Subscriptions and renew automatically until cancelled (see §8.3).

Access to private links/resources/community groups is for active members only and must not be shared.
6. Payments, Pricing & Off-Platform Rule
6.1 Payments
-
You agree to pay all fees at the time of booking or subscription. Receipts are issued via Stripe. Payments are processed securely through Stripe. Bookings may be managed via Acuity Scheduling, which integrates with our payment systems.

💳 All payments are handled through The Kind🌿Root Space. Practitioners receive their session fee after standard platform and Stripe processing fees are deducted. This ensures your payment is secure, protected by our cancellation/refund policy, and never taken directly by a practitioner.
6.2 Pricing Changes

We may update prices from time to time. The price shown at checkout is the price you pay for that booking cycle.
6.3 Chargebacks & Fraud
-
If you initiate a chargeback without first contacting us to resolve an issue, we may suspend your access while we investigate.
6.4 Off-Platform Bookings (Non-Circumvention)
-
To protect the sustainability of the platform, you agree not to solicit, arrange, or pay for Services outside The Kind🌿Root Space with any Practitioner introduced through us for 12 months from the first introduction.

Breach may result in account suspension and denial of future Services.
7. Cancellations, Rescheduling & Refunds
Standard Platform Policy (minimum):

48+ hours before start time → Full refund.
-
24–48 hours before → 50% refund.
-
<24 hours / No-show → No refund.
-
Refunds are processed via Stripe to your original payment method.
7.1 Rescheduling
-
Where available, rescheduling follows the same time windows above. A reschedule request inside 24 hours may be treated as a late cancellation.
7.2 Practitioner Cancellations
-
If a Practitioner cancels, you may choose a full refund or free rebooking with the same or another aligned Practitioner.
7.3 Group & Private Group
-
Open Group tickets are generally non-refundable once purchased unless the session is cancelled or rescheduled by us/the Practitioner. Any exceptions will be stated on the event page.

Private Group bookings follow the standard 48h/24h windows unless specified otherwise in your confirmation.
7.4 Memberships
-
You may cancel any time before the next billing date. No partial refunds for unused time within a paid period. Access ends when the period ends or payment fails.
7.5 Practitioner Discretion

Practitioners may choose to be more generous (e.g., reschedule or offer an ex-gratia refund). Any such discretion does not amend the platform policy.
8. Access, Links & No-Sharing

Access details (video links, addresses, private group invites) are provided after booking and must be kept private.
-
Do not share links or materials outside your booking or membership. Abuse of access may result in removal without refund.
9. Confidentiality & Data Protection (GDPR)
-
Practitioners keep session content confidential except where disclosure is required by law (e.g., safeguarding, risk of harm).
-
We process your personal data only for matching, booking, payments, and essential communications.
-
See our Privacy Policy for full details. By using the platform, you consent to essential operational emails (confirmations, reminders, updates). You can opt in/out of community/marketing emails at any time.

10. Behavior and Community Standards

We hold a zero-tolerance stance on abusive, discriminatory, or unsafe behaviour.
-
Practitioners may end a session early if behaviour is inappropriate.

For Private Group bookings, the Lead Client is responsible for participant conduct.
-
Breaches may result in removal without refund.
11. Mediation & Disputes
-
If an issue arises, we may act as a neutral mediator to support a fair resolution.
-
We will consider both perspectives, apply these Terms (including §7), and arrange any eligible refund via Stripe.
-
Our determination on refunds/cancellations after mediation is final.
-
Where bookings are facilitated through Acuity Scheduling, those records will also be used as part of the mediation process.
12. Health, Suitability & Disclaimers

Services on our platform support wellbeing and personal growth; they are not a substitute for medical, psychological, or psychiatric care.
-
You are responsible for assessing suitability and disclosing relevant health information to your Practitioner.
-
If you are in crisis or need urgent support, contact emergency services or a licensed professional immediately.
-
For movement/breathwork practices, consult your clinician if you have any contraindications or concerns.
13. Minors & Safeguarding

Unless expressly stated, Services are for adults (18+). If a Service is available to minors, parental/guardian consent and appropriate safeguarding measures are required.

We take safeguarding seriously and may suspend access pending review if concerns arise.
14. Recordings, Materials & IP
-
Recording of sessions/events is not permitted without explicit written consent from all parties.
-
Any handouts or materials are for your personal use only and remain the intellectual property of the creator. Do not copy, share, or resell.
15. Liability (Limits)
-
Practitioners are independent and carry their own professional responsibility and insurance.
-
To the fullest extent permitted by law, The Kind🌿Root Space is not liable for outcomes of sessions or indirect/incidental damages.
-
Our total liability to you, if any, shall not exceed the amount paid by you for the specific Service giving rise to the claim.
16. Suspension & Termination

We may suspend or terminate your access if you breach these Terms, behave unsafely, or attempt to circumvent the platform.

You may stop using the platform at any time; outstanding obligations (e.g., fees, non-circumvention) remain in effect.
17. Changes to These Terms

We may update these Terms periodically. The latest version will always be available on our website. Material changes will be communicated by email or site notice.
18. Governing Law
-
These Terms are governed by the laws of England & Wales. The courts of England & Wales shall have exclusive jurisdiction over any dispute.
